Privacy Policy – Client Content

This policy explains how Reelbox (“we”, “us”) handles client media and digital content supplied for digitising, transfer, restoration, editing, or related services.

What we collect

When you provide materials to us, we may collect and handle:

  • Client content (e.g., tapes, film, photos, slides, audio, digital files) and the digital copies created from them
  • Basic job details (name, phone/email, order notes, labels on items, and delivery/return details)

 

How we use client content

We use client content only to

  • Perform the services you requested (digitising, conversion, restoration, copying, editing)
  • Quality-check the work and resolve technical issues
  • Provide your chosen delivery format (USB, HDD, download link, etc.)

We do not view, use, or share your content for marketing, training, or any other purpose without your explicit permission.

 

Storage and security

Digital copies may be stored temporarily on secure systems with access restricted to authorised staff who need it to complete your job. We use reasonable safeguards to protect content from unauthorised access, loss, or misuse (e.g., access controls and secure handling procedures).

 

Retention period (30 days) and deletion

  • We keep digital copies on secure servers for up to 30 days for backup purposes only (e.g., in case a delivery device fails or a file transfer needs to be re-issued).
    After 30 days, all files are permanently deleted from our systems.
  • If you would like your files deleted earlier than 30 days, you can request this in writing and we will action it as soon as reasonably possible (unless we are required to keep something by law).

 

Confidentiality and NDA

We treat client content as confidential. Non-Disclosure Agreements (NDAs) are available on request—we’re happy to sign an NDA prior to receiving or processing your materials.

 

Sharing and third parties

We do not sell or rent client content.

We only share content if needed to deliver the service you chose, such as:

  • A secure file delivery provider (e.g., sending you a download link), or
  • A trusted subcontractor used for a specific production step (only where required)
  • Any third parties we use are expected to handle information securely and only for the intended purpose.

 

Your choices and access

You can:

  • Ask questions about how your content is being handled
  • Request earlier deletion (as above)
  • Request correction of your contact details or job notes
